Autotext Problem

Every time I type an “autotext” and hit the enter key I expect the phrase to be entered. It’s not working for me. When I hit enter key a “pop-up“ box with suggestions pops up. I would like to disable this feature. Every time I hit backspace or the space bar the phrase is substituted and the curser goes to the next line.

All I want to be able to do is type an autotext, hit the enter key and have the phrase substituted replacing the autotext. This makes it difficult to type a document. I have read the users guide and watched the training videos. I know I must be doing something wrong. Any help is appreciated. Thanks in advance!

If you get the popup, then there are multiple definitions of the same Autotext for different phrases. Please learn more about Autotext at http://manual.phraseexpress.com#autotext

Please also read http://manual.phraseexpress.com#unwanted to quickly remove unwanted text replacement items.

I have read both articles and they have not helped. I work for the DoD and I am evaluating this product for a team of DIACAP network security engineers. If this tool works for the functions we do on a daily basis I would like to present this appliaction to be approved to be installed on Government workstations. Does your company have a SDK? The security teams have to write many Government Artifacts that have hundreds of acronyms, repeated phrases, Dos commands, IA Controls, mitigation stratagies, various vulnerability scanning tools that could be launched with a autotext etc. Your application has everything we want. These engineers have to edit artifacts in word enter a autotext hit enter and have the phrase spelt out and keep going. They also have to enter canned statements in Government Portals and Databases. I have seen all your training videos and the application works the way we want it to in the videos. When we setup our acronyms, phrases, etc they do not function the way we would like. I enter an autotext for example (AAA) and hit the enter key and a pop up window pops up with suggestions. There are no autotexts that even come close to (AAA). When I type (AAA) and hit the space bar it comletes the phrase Authentication, Authorization, and Accounting (AAA) and does a carrage return to the next line. When I hit the backspace key to go back to the end of the phrase PhraseExpress keeps entering the phrase everytime I hit the backspace key or the space key. Every time I hit the enter key to goto the next line I get the pop up window or the enter key just does not work until I disable PhraseExpress. It may be the way I have the application/autotext setup. Maybe its not a functionality of the application or maybe I am doing something wrong. I beleave I set it up the correct way. I have attached one of the Autotext setting they way I have it setup currently. If you need me to create videos of what I am doing please let me know. If you need additional screen shots of settings please let me know. I would really like to make this work. I believe PhraseExpress can save my team valuable time in the DIACAP process in turn saving the Government money.

We gladly assist you in getting what you need if you could make a screen video to illustrate the issue. You could use the freeware software http:/www.jingproject.com to create screen videos.

If looking at the screenshot alone, the phrase with the Autotext (AAA) looks just fine and should work as you desire.

Perhaps, the "text prediction feature" interfers with your Autotext. You can easily disable it at Tools -> Settings -> Features -> Untick the option "Text Prediction": http://screencast.com/t/ZTkzMGFjM2Y

Did some testing and found the problem I was having with the carriage return. When I was entering the phrase content I had some spacing after the context. So when I entered the “Autotext” it also entered this spacing and thus went to the next line. This issue has been corrected. So I only have one issues remaining, disable the pop ups every time I hit the enter key.

The phrases are triggered again because the ending of the inserted phrase is actually an Autotext that will trigger the phrases again. You should not use a phrase ending that is also an Autotext that may trigger other phrases.

Can you please also send the phrase file if possible? We gladly try to tweak it for you.

Its DoD policy that when spelling out acronyms to do so like the following example: Authentication, Authorization, and Accounting (AAA). I see how that can be a problem. I have attached the phrase file. It’s not fully complete. I wanted to make sure it works the way we want before transferring all our info over. Is there a way to disable the pop-up's or maybe in the next update the possibility to turn that feature on and off. I really appreciate all your help.

I found another issue: You have assigned the hotkey ENTER to any acronym phrase.

Whenever you hit ENTER, PhraseExpress just does what you instructed to do: It offers the phrases for insertion.

Attached phrase file has been fixed and contains the acronyms that are automatically expanded after entering them followed by ENTER.

Do you want the Autotext to always expand automatically or only optional after showing them in a popup? Please read http://manual.phraseexpress.com#confirm for details.

I really like the pop-up option when I forget a exact autotext but I need to use the enter button to do many other functions e.g. carriage return, pharagraph spacing etc. Everytime I hit the enter key the pop-up comes up. It really limits what I can do in a document, form or other application. Is phraseexpress ment to be turned on, add a phrase and then turn off? I would really like it to be running in the background all the time so I can use it when I jump in and out of documents, web portals, databases, online forms and network untilities. Sorry for being a pain.

No problem. PhraseExpress can be configured in very detailed manner. You can also configure to show the popup and then confirm with ENTER

However, as you already realized, the ENTER-hotkey is really not a good choice as a confirmation key as it is a general use key for many other tasks. I would rather suggest to choose another key that can be easily accessed. On American keyboard layouts, it would be the semicolon, TAB or perhaps the #-key.

The reason for the malfunction is that you still use the uncorrected phrase file where all phrases have ENTER as the hotkey (that triggers the unwanted popup as you just wanted to add a new line) and you still have ENTER as the confirmation hotkey (which is not recommended as it will interfere with any other action you want to achieve with ENTER).

That did it!!! Awesome. Thank you so much for all your help. I am going to test a few more option. If I have any problems I will contact you. I am thinking about buying the network version. When I setup the network version it will be a central repository for all users correct? Everyone will use the same phrasefile but can everyone update it? Are there any user rights I can setup?

Yes. the PhraseExpress Network Edition stores all phrases for all users in one central place. Please learn more in the manual of the Network Edition: http://netman.phraseexpress.com

You can define read and access rights separately for each individual phrase folder per username, usergroup, workgroup and domain: http://manual.phraseexpress.com#personal
